What does a great Proposal Management Specialist Senior do?

Position Purpose: The Proposal Management - Specialist Senior is part of the GSO RFP/RFI Proposal Management team (RFx Team). The Senior Specialist is charged with support of the Fiserv Sales teams, GSO and Non-GSO, aligned to the team’s primarily assigned BU as well as other BUs, as needed. The team goal is to help facilitate the completion of the highest quality RFx Proposals possible, delivering the Proposal by or before the delivery date as defined in the RFx directions, and ensure the Fiserv messaging/themes/value propositions positioned for the deal are reflected in the RFx Proposal, all in support of positioning Fiserv to move forward in the sales cycle.

The RFx Team supports product portfolios in the following industries:

  • Financial institutions (banks, credit unions, etc.)

  • Healthcare

  • Insurance

  • Utilities

  • Telecom

  • Lending

In addition the Senior Specialist is expecting to be leader for their RFx team and for the verticals they support. This is demonstrated by the leads willingness to take on complex or difficult assignments, being available to coach and trains peers, and provides backup leadership support for the team at time when management may not be available.

The Proposal Specialist assumes responsibility for managing/coordinating RFx responses/bids through the entire process or as a team member to complete the response. In this role, the Specialist will collaborate with various departments across the vertical business unit (BU) within Fiserv.

Essential Job Responsibilities::

With limited supervision, coordinate and prepare response to Request for Proposals

  • Create a master schedule that drives completion of our proposal

  • Organize the RFP response team by identifying the roles and responsibilities for each member

  • Track the progress of the response to ensure accuracy and completeness

  • Write compelling content to drive customer and prospect engagement

  • Compile content from team members into the final response, taking responsibility for overall quality and accuracy

  • Ensure writing is relevant, consistent, cohesive, and in the proper brand voice

  • Create the final document and oversee the production process

  • In addition to other duties, balance a proposal response load of that can include more than three proposals at a time

Maintain and synchronize RFP response databases with new and reusable content Coordinate and assist with production of client-facing documents (e.g., proposals, etc.) Occasional travel to meetings up to 10%

/Required Qualifications:/

Education:

  • Bachelor's degree in Business, Marketing, English, Communications, Journalism, Technical Writing or related field

Job Related Experience:

  • Minimum of three years of experience working within or in support of financial industry, specifically front and back office operations

  • Minimum of three years sales support and/or proposal management experience

  • Well organized and detail oriented, able to track multiple project plans and due dates

  • Handle rapidly changing priorities and aggressive deadlines

  • Lead or contribute to projects from start to finish with minimal supervision

  • Develop RFx specific messaging and win themes in-line with overall brand voice and language that is appropriate to the given opportunity

  • Excellent verbal, written and group communication skills with proven writing and editing experience

  • Detail oriented with in-depth knowledge and application of English grammar and ability to proofread all written materials including proposals presentations, and related documents

  • Superior follow through capabilities and ability to work under pressure to meet deadlines

  • Proficient with Microsoft Word, Excel and PowerPoint

  • Conceptual and visual creative skills

  • Strong content planning, strategy development, and management abilities

  • Able to maintain high level of diplomacy and adaptability with professionalism

  • Ability to work in a team environment as well as independently with limited supervision

  • Communicates with all levels of the organization, from highly technical to senior-level business leaders

  • Ability to adapt and apply the knowledge gained from experiences of several projects

Additional Skills/Knowledge Preferred:

  • Strong skill level with Microsoft office products (Word, Excel, PowerPoint, Visio, etc.)

  • Salesforce.com and SharePoint experience

  • Qvidian or similar proposal automation software experience

  • Strong relationship building skills both internally and externally

  • Strong problem solving skills and attention to detail

  • Responsive, reliable and results oriented

  • Strong organizational skills

  • Strong communications skills (written and oral)

  • Ability to operate and work as part of a team
