Job Description

POSITION OVERVIEW:

Perform administrative/clerical functions for the Human Resources (HR) department, including but not limited to, applicant tracking system (ATS) processes, hiring process, transfers, data entry, personnel records, immigration maintenance and job listing process.

ESSENTIAL JOB DUTIES/RESPONSIBILITES:

  1. Review new/rehire/transfer files for completeness and process compliance and issue approval/disapproval; process hires/rehires and prep documentation for imaging

  2. Process MVR and criminal record reports; receive pre-employment drug screen results and ensure proper reporting of positive drug screens

  3. Complete timely data entry into Human Resources Information System (HRIS)

  4. Monitor expiring work eligibility for foreign nationals; obtain required documents to re-verify employment eligibility and update HRIS records

  5. Provide HR assistance and customer service to employees at all levels within the company; act as an education liaison for hiring, transfers, and ATS related responsibilities

  6. Responsible for various HR reports and taking appropriate action following established procedures

  7. Perform all procedures related to the ATS process, e.g., maintenance of job requisitions, coordination of job listing process, submission of applications to hiring managers and facilitation of disposition process

  8. Respond to applicant inquiries and send rejection communications to applicants

  9. Assist in auditing other HR Contact work, such as I-9 compliance and ATS audits

  10. Administer transfer approval process, send offer letters and complete timely data entry

  11. Comply with all applicable laws/regulations, as well as company policies/procedures

  12. Perform other duties as required

QUALIFICATIONS:

• High school diploma or equivalent plus four (4) years of general clerical experience with experience in Human Resources preferred

• Knowledge of company policies, procedures, and benefits, preferred

• Experience with a HRIS software, preferred

• Proficient in Microsoft Office Software, including but not limited to, Word, Excel, and Outlook

• Accurate data entry skills

• Ability to apply policies and procedures for compliance and regulatory purposes

• Ability to monitor and follow up

• Excellent interpersonal skills

• Excellent customer service skills

• Demonstrated ability to handle confidential information

• Ability to work independently or with a team, handle multiple assignments, and prioritize workflow with attention to detail and time-sensitive information

• Good written and verbal communication and listening skills

• Strong multi-tasking and organizational skills

• Ability to handle a high volume of workload while maintaining attention to detail

• Ability to adapt to change
